Responsibilities

New York Institute of Technology's College of Osteopathic Medicine Family Health Care Center is seeking a full-time Office Assistant for our clinic in Central Islip.

We are seeking a highly organized and personable Office Assistant to join our clinic. In this role, you will be the first point of contact for patients, providing exceptional customer service while handling administrative tasks efficiently. The ideal candidate will have strong communication skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced environment.

Key Responsibilities:

  • Oversee the process of physician orders which may require approval/authorization from insurance companies and/or third-party vendor portals.
  • Obtains information necessary to complete the prior authorization for radiology, medication, and/or other medical services. (Includes collecting all the necessary documentation, contacting the ordering physician for additional information or asking questions regarding the order, and determining from a quick overview whether the order is likely to be approved (prior-auth) and is ready to be moved on to prior-authorization stage.)
  • Answer telephone, take all incoming messages and appropriately document in the electronic medical record.
  • Handle all appointment scheduling.
  • Greet and receive patients ensuring a welcoming and postiive experience and obtain appropriate patient and financial information.
  • Document patient arrival, verify patient information and obtain appropriate consents and signatures.
  • Process patient payments, including co-pays and past due balances, and handle billing inquiries.
  • Assist with patient referrals, ensuring necessary documentation is sent to the appropriate medical facilities. Follow up with specialists to collect visit summary notes.
  • Coordinate communication between patients, doctors, billing and other clinic staff.
  • Log patient communication in eClinicalWorks (eCW) via telephone encounters.
  • Maintain a clean and organized front desk and waiting area.
  • Managed electronic health records (EHR) and ensure patient confidentiality in accordance with HIPAA regulations.
  • Other duties as assigned.

Qualifications

High school diploma or equivalent required.

Preferred Medical Assistant Training and/or certification.

Prior experience with patient scheduling or working in a medical health center preferred.

Familiarity with Medical Terminology.

Computer skills (use of an electronic medical record system required).

Operating knowledge of personal computers and MS Windows applications (including Word, Excel and Outlook)

Strong communication skills, both verbal and written.

Ability to work with sensitive and confidential information and adheres to AHC HIPAA Compliance Program.

Strong organizational skills and attention to detail.

Maintain an approachable demeanor with a focus on patient care.

Must be able to interact with patients, insurers and team members in a responsible, professional and ethical manner.

Ability to self-motivate.

Bi-lingual Spanish preferred.

New York Tech considers factors such as (but not limited to) scope and responsibilities of the position, candidate experience/expertise, education/training, key skills, geographic location, internal peer equity as well as market, organizational considerations and/or applicable collective bargaining agreement when extending an offer.

 

Minimum Salary

USD $35,000.00/Yr.

Maximum Salary

USD $38,000.00/Yr.
