The Sr. Specialist for Operations shall support the Advising & Enrichment Center (AEC) in successfully implementing retention and graduation-focused initiatives and services for NYITs undergraduate population. S/he shall play an integral role in providing data analysis, ensuring timely execution of outlined initiatives, and providing general office support to the AEC.

 

 

Responsibilities

Administrative Responsibilities: 

  • Provide front desk coverage of the Advising & Enrichment Center office at the Long Island campus; triage student walk-ins and appointments as they arrive; oversee virtual drop-in hours; respond to main AEC phone line, voicemails, and emails (delegate these responsibilities when or as needed)
  • Oversee operational budget, ordering of supplies, submitting and managing budget requests
  • Become proficient with Advising software (EAB's Navigate) and act as a resource to campus partners; Create and maintain user guides and training materials
  • Execute various call campaigns, as needed

Project Management Responsibilities:

  • Overall Project Management (Basecamp): Organize and maintain AEC projects within Basecamp; ensure timely execution of deadline-driven initiatives
  • New York Tech Advance: Manage the New York Tech Advance (college in high school) program including marketing, outreach, and enrollment logistics
  • Peer Advising: Administer the Peer Advisor program including, recruitment, training, and schedule management
  • New Student Advising: Assist in the coordination of the advisement/registration process for first semester freshmen and first semester transfers; Manage logistics related to Summer JumpStart program for new incoming students; Provide advising support, as needed
  • Early Alert: Oversee the case management of the SOS Early Alert system; Follow up with reminder procedures and outcome tracking
  • Assist in the project management of other Student Success initiatives, as assigned

Data/Reporting Responsibilities:

  • Pull various usage and outcome reports via the EAB’s Navigate, DataWarehouse, or other reports, as needed
  • Assist in the compilation and dissemination of information about academic advisement to appropriate departments and administrators, as needed; Assist with the assessment of services and programs as well as with the analysis, preparation, and distribution of department reports
  • Maintain and update AEC web content and published materials; Ensure that information is up to date and accurate at all times
  • Assist in all other departmental initiatives and campus-wide committees and events such as New Student Orientation, Preview Day, Open House, and Commencement

Qualifications

 

  • Bachelor’s degree required, Master’s preferred
  • At least three years of professional experience working in an academic or student services role at a college or university. Demonstrated success working with students in a service-oriented environment.
  • Experience with academic advising at the higher education level, including policies, academic disciplines, coursework, and graduation requirements is preferred.
  • Must be strong at multi-tasking; Ability to meet deadlines and manage multiple projects simultaneously; previous project management experience preferred.
  • Excellent analytical, organizational and technical skills (MS Office Suite) required. Demonstrated experience working with data required. Knowledge of PeopleSoft and EAB Navigate preferred.
  • Strong communication skills, both written and verbal, required. Excellent customer-service skills required as well.
  • Excellent interpersonal skills are required to effectively work with staff, students, and establish rapport with faculty members and academic staff. Demonstrated sensitivity to cultural diversity. 
  • Must be able to work flexible hours including weekends and evenings, as needed
  • Must be able to travel to the New York City (Manhattan) campus, as needed (typically once or twice a year)
