    New York Institute of Technology’s Department of Facilities Management seeks a full time Assistant Project Manager located at the Long Island (Old Westbury, NY) campus.


    The Assistant Project Manager provides direct support to the Project Managers in organizing all aspects and phases of a project. This will include, but is not limited to: monitoring project plans, schedules, budgets, expenditures and ensuring that project schedule dates/deadlines are adhered to. Additionally, the Assistant Project Manager will participate in planning, design, construction and operational meetings.




    • Responsible for assisting in the management of projects from inception to planning and design through construction and installation. 
    • Assist in the creation of formal plans, project schedules and related documents, including Request For Proposals, Request For Qualifications, and Request For Information in preparation for bidding for external consultants and/or trade professionals.
    • Liaise with NYIT Departments, including Strategic Communications and External Affairs, to collect and provide project updates to the University community. 
    • Assists in the development of preliminary designs, cost estimations, project budgets, project timelines, milestones and deliverables. 
    • Responsible for collecting and managing a database of preferred contractors and vendors for use by the Department. 
    • Responsible for requesting, collecting and filing as-built materials, warranty information and supporting documentation. 
    • Create and maintain a project management calendar including critical paths for fulfilling each project goal and objective.

    • Participate and lead the bidding, bid leveling and award processes for the selection of consultants and/or contractors to make a formal recommendation to the Department. Develop project scopes of work, requisitions, sole source documentation as required.  
    • Assist in the management of architects, engineers, contractors and user groups to assure successful completion of the project in time and on budget.
    • Responsible for coordination and management of select projects, reporting all variances, risks and potential mitigation strategies to the Department, ensuring that all critical dates and durations associated with the project are identified and met. 
    • Monitor the cost control system established for the project to ensure accuracy and to track contract execution, vendor payments, change orders, and monitor quality control. 
    • Effectively communicate with a diverse group of clients and constituents with varying needs and expectations to develop project requirements, designs, plans, project documents, and provide the same constituency project updates. 
    • Become familiar with and ensure all federal, state, and local codes and University standards are adhered to for all projects. 
    • Ensure full compliance for all new projects with University policies, procedures, and standards. Ensure projects align with set University strategies. 
    • Organize, plan and prepare presentation material and project reports for meetings. Record minutes of project meetings. Document and follow up on important actions and decisions from meetings. 
    • Provide on-call coverage outside of business hours on a routine rotation basis for special project needs. 
    • Required to safely and responsibly operate an NYIT vehicle on/off campus as needed. 
    • Perform other duties as assigned.




    • A Bachelor’s degree in Engineering, Architecture or related field is required. 
    • Proficiency in Microsoft applications including, Word, Excel, PowerPoint and Outlook. 
    • Responsible to maintain a valid and current New York State driver’s license. 
    • Must possess excellent communications skills and an ability to establish/maintain excellent working relationships with University employees, vendors/contractors and township/regulatory agencies.


    Preferred Qualifications:

    • Previous experience in an engineering, architectural design and/or project management role. 
    • Competency with Autodesk applications, specifically AutoCad and Revit. 
    • Ability to work effectively both independently and as part of a team. 
    • Flexibility and competency to multitask on several different aspects of a project and/or on multiple projects simultaneously. 
    • Capability to produce quality work with strict deadlines.
