NYIT seeks a Registrar Assistant located at the Long Island, NY (Old Westbury) campus.
Provide courteous and accurate customer service information to the college community in accordance with NYIT policies and FERPA. Students should be serviced courteously and expeditiously so that others are not kept waiting. The college catalog and registrar procedures should guide responses to students.
Consult with the associate registrar if assistance is needed.
Assure that the release of student data and information complies with FERPA and safeguard all forms, documents and information. This includes locking computers and cabinets when not in use.
Assist students at the window by processing registrations, enrollment verifications, withdrawal from school and providing on the spot transcripts for transcript requests. Provide excellent customer service to the college community.
Audit the academic records of candidates for graduation that have been recommended by faculty advisors to determine eligibility for graduation. Ensure that all program requirements have been satisfied, all course substitutions and equivalencies have been approved by the appropriate academic official, and all remaining requirements, both administrative and academic, have been completed. The NYIT catalog, graduation guidelines and degree audit records are used to guide the audits.
Respond to faxes and telephone messages when these tasks are assigned by the associate registrar. Answer telephone calls. All information provided should be in conformance with NYIT policies and FERPA.
Update the SIS records with appropriate flags and comments for each student audited for graduation. Paper records are imaged in the NYIT Web Now system and the original records are destroyed in compliance with FERPA and registrar policies.
Communicate with students and advisors to let them know the results of the audits. If graduation is dependent on completing courses in a final semester an additional audit is completed when all grades have been received. Each student who is denied graduation will be automatically audited for two additional consecutive semesters. Proof read diplomas.
Provide degree verifications through the National Student Clearinghouse.
Manage the withdrawal from college applications. These are time sensitive documents and must be processed in accordance with registrar procedures.
Responsible for researching and answering questions sent to the registrar’s E-mailbox by members of the college community. Responsible for researching and answering graduation emails.
Participate in projects assigned by the Registrar.
Participate as a member of the registrar’s Datatel testing team. Participation requires attendance when updates and patches must be tested before being loaded into the production database. Testing responsibilities will focus on your area of experience; however, all members should be able to test the screens and functions utilized by the registrar.
Provide excellent customer service to the college community.
Four year undergraduate degree is preferred or equivalent combination of education and experience.
Must have a friendly, courteous, pleasant and professional demeanor.
Excellent customer service including follow-up with students and faculty as necessary to eliminate the "runaround" effect.
Knowledge of FERPA, PeopleSoft student information system (or other integrated student information system) is preferred.
Knowledge of Microsoft Office products including Word and Excel is required.
