    New York Institute of Technology seeks an Administrative Assistant to support the Dean of the College of Arts and Sciences at the NYIT Manhattan Campus. The administrative assistant to the Dean will ensure smooth operations of the office of the Dean through a wide range of administrative tasks.  

    Responsibilities

    • Provide administrative assistance to the Dean; this includes, calendar management, scheduling appointments, handling business travel arrangements, speaking engagements and conference participation.
    • General office support; answering calls and assisting callers, filing, copying, greeting visitors
    • Financial transaction processing including operating department budgets, requisitions, reimbursement requests, and travel advancements.
    • Plan and coordinate any administrative services, events and special projects.
    • Responsible for preparing faculty and staff online recruitment authorizations via Oracle; this includes adjunct faculty, staff, and students.  Process change of statuses documents that might include various financial functions including disbursements and documentation (payroll, compensation etc.)
    • Plan and coordinate various projects such as: compiling student scholarship, fellowship and graduate school information.  Supporting the Deans program and other scholarship programs, assisting with the organization of conferences, showcase events and open house.
    • Other duties as assigned by the Dean; cross campus travel at times.

     

    Qualifications

     

    • Bachelor’s Degree strongly preferred; or High School diploma with minimum 3 years of administrative experience.
    • Prior experience in an Administrative role supporting members of a leadership team
    • Higher education experience preferred but not required
    • Proficiency with PC based programs including Microsoft Excel, Work, Power Point
    • Ability to handle sensitive, confidential information and work with a wide variety of people at various levels of responsibility.
    • Detail oriented with the ability to execute multiple tasks in an organized manner
    • Strong written and oral communication skills
    • Technology savvy and willing and able to learn new software tools in a highly technical environment.
    • Must be willing to do cross campus travel at times
