    NYIT‘s Office of the Registrar seeks an Associate Registrar for Course Scheduling for the Old Westbury campus. 

    Responsibilities

    Manage room and resources assignments at the OW campus. Priority is given to rooms and resources utilized for classes and final exams.

     

    Compile and publish the schedule of classes and final exam schedule each semester and summer session for the Old Westbury campus and ensure sections conform to NYIT and NYSED policies.

     

    Manage and schedule staff to ensure all customer service functions are addressed. This includes training staff and keeping them informed of changes to policies and procedures. Specific functions are: window services, transcript services, complete withdrawals, registration, program changes and general information.

     

    Interact with the college community and address administrative and academic issues with the faculty and chairpersons. Communicate with students and parents and resolve issues or advise them of established policies.

     

    Responsible for understanding how the NYIT room and resource software (AD ASTRA) functions and use it to manage these functions.

     

    Work closely with registrars and provide guidance and direction to assist them with their responsibilities. Manage degree verification through the National Student Clearinghouse.

     

    Manage document imaging of registrar’s current and legacy forms and ensure all original forms are properly disposed of in accordance with FERPA guidelines. Manage the document workflow processes and ensure documents are completed.

     

    Manage the NYIT course file. This includes creating courses approved by the academic senate, assigning course numbers, researching course equivalencies and applying them along with appropriate requisites.

     

    Assure that all staff understand and comply with FERPA regulations regarding access to student information and reinforce these rules with the staff throughout the semester.

     

    Participate as a member of the registrar’s student system testing team. Participation requires attendance when updates and bundles must be tested before being loaded into the production database. Testing responsibilities will focus on your area of experience; however, all members should be able to test the screens and functions utilized by the registrar.

     

    Manage and process for delivery to outside agencies Authentication/Apostilles requests for transcripts and diplomas

     

    Manage registrar role in Extended Education and other special student populations including building courses, classes and registering students.

     

    Supervise staff at the Old Westbury campus and ensure all registrar functions and services are handled in accordance with established NYIT protocols.

     

    Ensure that all requests for transcripts are processed in accordance with FERPA and NYIT policies. Resolve issues with problem transcripts.

    Qualifications

     

     

    A Bachelor’s degree with a minimum of 6 years’ experience is required. A Master’s degree is preferred.

     

    Professional and effective interpersonal, oral and written communication skills.

     

    Ability to be collaborative, respectful, approachable, and team oriented to build strong working relationships and a positive work environment.

     

    Ability to prioritize, plan, organize, and schedule in an efficient and productive manner with attention to detail. Ability to meet deadlines.

     

    Knowledge of PeopleSoft student information system or other SIS, FERPA, Microsoft products including Word and Excel;

     

    Experience maintaining a course catalog, building course schedules, and creating final exams schedules is required.   Knowledge of room and scheduling software such as Ad Astra is preferred.

     

    Strong customer service orientation and supervisory experience is required.
